The Internal Quality Assurance Cell (IQAC) of St. Francis de Sales College functions as an internal mechanism for the systematic planning, monitoring, evaluation and continuous improvement of institutional quality.
The IQAC follows a participatory and evidence-based approach in which academic and administrative units work together to identify areas for improvement, implement appropriate interventions, assess their effectiveness, and institutionalize successful practices.
The quality-assurance process is carried out through the following stages:
1. Identification of Quality Needs
The IQAC periodically reviews the academic, administrative and support systems of the College to identify areas requiring improvement. Inputs are obtained from departments, faculty members, administrative staff, students, alumni and other relevant stakeholders through meetings, feedback mechanisms, reports, institutional data and review of existing practices.
Particular attention is given to teaching-learning and evaluation, curriculum implementation, student support, research and extension, infrastructure, governance, learner satisfaction, institutional values and other areas relevant to the College’s quality objectives.
2. Planning and Setting of Quality Objectives
Based on the identified needs, the IQAC develops and recommends quality objectives, improvement measures and action plans in consultation with the Principal, College authorities, departments and concerned committees.
The plans are aligned with the vision, mission and institutional goals of the College and with applicable regulatory and accreditation requirements. Wherever appropriate, measurable targets, timelines, responsible units and expected outcomes are identified.
3. Implementation of Quality Initiatives
Approved quality initiatives are implemented by the concerned departments, committees, cells and administrative units.
These may include measures relating to:
- improvement of teaching-learning practices;
- curriculum enrichment and value-added activities;
- faculty development and professional development;
- research, innovation and extension activities;
- student mentoring and support systems;
- use of ICT and digital learning resources;
- academic and administrative audits;
- student and stakeholder feedback;
- infrastructure and learning-resource improvement;
- good governance and administrative efficiency;
- best practices and innovative institutional initiatives.
The IQAC facilitates coordination wherever an initiative involves more than one department or institutional unit.
4. Monitoring and Review
The IQAC periodically monitors the progress of quality initiatives against the planned objectives and timelines. Departments and committees submit relevant reports, records and supporting evidence for review.
The monitoring process considers both implementation and outcomes, rather than merely whether an activity was conducted. Where gaps, delays or weaknesses are identified, the IQAC discusses the issues with the concerned stakeholders and recommends suitable corrective or improvement measures.
5. Feedback and Stakeholder Participation
Feedback is treated as an important component of the institutional quality cycle. The College seeks inputs from students and other stakeholders wherever appropriate to assess the effectiveness of academic, administrative and support services.
The feedback received is analysed and communicated to the concerned authorities or units. Appropriate action is taken wherever improvement is required, thereby establishing a feedback-to-action mechanism.
UGC materials recognize the role of IQAC in facilitating institutional feedback systems and quality-related monitoring.
6. Documentation and Maintenance of Records
The IQAC maintains systematic documentation of quality-related activities and institutional improvements. Relevant records may include meeting proceedings, action plans, departmental reports, audit reports, feedback analyses, evidence of quality initiatives, best-practice documentation, photographs, certificates, statistical data and other supporting documents.
Documentation is maintained in an organized and verifiable manner so that institutional practices, outcomes and improvements can be reviewed over time and supported by appropriate evidence. The UGC specifically identifies IQAC as a documentation and record-keeping mechanism within the institution.
7. Evaluation of Outcomes
The IQAC evaluates the effectiveness and outcomes of major quality initiatives through appropriate indicators, institutional data, stakeholder feedback, audits, reviews and other evidence.
The emphasis is on determining whether an intervention has contributed to measurable or demonstrable improvement in institutional processes, student learning, academic performance, research, administration, student support or other relevant areas.
8. Corrective and Preventive Action
Where the review identifies shortcomings, the IQAC recommends corrective measures and, wherever appropriate, preventive measures to reduce the recurrence of identified issues.
The concerned department or institutional unit is encouraged to prepare an appropriate action plan and report the status of implementation. Follow-up review may then be undertaken by the IQAC to assess whether the desired improvement has been achieved.
9. Institutionalization of Successful Practices
Quality improvement is not considered complete merely with the implementation of an individual activity. Effective practices are reviewed for their suitability for institutionalization and sustained implementation.
Practices that demonstrate positive outcomes may be incorporated into regular departmental or institutional processes, guidelines, policies, academic planning, student-support mechanisms or administrative procedures.
UGC quality-assurance provisions emphasize internalization and institutionalization of quality-enhancement practices through periodic review and audit.
10. Preparation of Quality Reports and Annual Review
At the end of the academic cycle, the IQAC consolidates information regarding quality initiatives, outcomes, improvements, best practices and institutional developments.
The annual review provides an opportunity to assess the progress achieved, identify unfinished or emerging priorities and prepare the quality agenda for the following academic year. Quality-related activities are documented through appropriate institutional reports and records.
UGC provisions also recognize annual reporting of quality-assurance activities as part of the quality-assurance framework.
